How much does an answering service cost for contractors?

The price depends on the calls you send to the service, how the provider counts them, and what needs to happen before the conversation ends. A plan that takes a message is doing a different job from one that checks your service area, gathers the problem details and creates a confirmed appointment.

Start with the volume your answering service will actually handle. If your office answers during the day, use overflow and after-hours calls rather than every call to the business. Then compare the monthly allowance, overage rate and required workflow on the same basis.

Goodcall defines an eligible unique caller by a distinct phone number interacting with the agent in that month. A homeowner calling three times from one number can therefore consume three calls in a per-call model but one unique-caller allowance. A household using two numbers can count twice. The table does not establish that each provider offers the same scheduling integration, intake depth, transfer handling or human support. An annual monthly equivalent also comes with different payment and commitment terms. Use a monthly quote when comparing a monthly budget.

What three example months could cost

These are illustrative usage levels, not contractor benchmarks. Every call averages three billed minutes in the minute-based examples. Actual rounding, hold time and after-call work can change billed minutes. Call-based examples assume all stated calls are billable. Goodcall examples use one agent and the stated number of eligible unique callers.

Rates come from the official pricing pages linked above. Choosing a plan with a bigger allowance can lower a bill or add needed features. It may also change the commitment. These examples do not claim to identify the cheapest configuration of every service.

Ruby’s 100-minute plan would cover the 90-minute scenario at $395 before any applicable taxes or fees. Its published 500-minute plan can cover the 300-minute scenario at $1,725, but that does not establish the least expensive Ruby bill: the 200-minute plan’s overage quote could change the choice. The 750-minute case needs an overage rate or larger-plan quote. We leave that rate blank in the worksheet rather than extrapolate it. Ruby pricing.

A low-volume free AI plan is worth testing if its workflow meets your needs. A human service may be worth more to you when callers need judgment, reassurance or complex coordination. Ask for the same representative test calls and required outcome before deciding whether a lower bill is better value.

Estimate your own bill in five steps

  1. Choose the coverage you need. Separate all-day answering, daytime overflow and after-hours coverage. Avoid counting calls that never reach the service.

  2. Measure the billable unit. Use calls, billed minutes or eligible unique callers as defined by that provider. Include repeat callers and non-sales calls that the service handles. Ask about spam, very short calls, transfers, hold time and rounding.

  3. Write down the base and allowance. For a usage-based plan, the calculation is: monthly base + max(0, billable units − included units) × overage rate.

  4. Add the workflow you require. Ask for scheduling, recordings, notifications, extra destinations, integration costs and any human fallback. Separate one-time setup from recurring charges. Keep your phone carrier’s forwarding charges separate too.

  5. Stress-test a busy month. Change the count and call duration separately. Ask when a tier change takes effect and what happens when your allowance runs out. A service can remain affordable in a quiet month and exceed your budget during a heat wave.

Compare answered calls, qualified requests and booked jobs separately

Keep one definition and a matching observation period for each stage:

Here is an illustrative month, not a Breezy customer result: the service bill is $600, it handles 100 conversations, and those produce 40 distinct qualified requests, 25 confirmed bookings and 20 completed jobs. The same bill works out to $6 per conversation, $15 per qualified request, $24 per booking and $30 per completed job.

Those figures describe the cost of supporting the whole group. They do not show how many jobs the service caused. Some callers might have booked anyway, and others might have reached your office through another channel.

For a break-even illustration, assume each additional completed job contributes $180 after the job’s incremental labor, materials and other variable costs. Covering a $600 service bill would require four additional completed jobs: $600 ÷ $180 = 3.33, rounded up. Use contribution, not the full ticket price. Capacity, cancellations, collection and attribution still matter. This calculation supplies a question to investigate, not a guaranteed return.

What to test before paying for contractor phone coverage

Give each candidate the same test cases and inspect the resulting record:

  • A homeowner in your service area asks for a job type you handle. Can the service collect the contact, address, issue and urgency without promising a price you have not authorized?

  • A caller outside your area or asking for a service you do not provide needs a clear answer. Does the system qualify them correctly rather than create unusable work?

  • A caller asks for an appointment. Does it create a confirmed booking in the correct system, or a request that someone must confirm? What happens when there is no eligible slot?

  • An urgent call needs the configured on-call person. Does the transfer follow your instructions, and who owns the next step if nobody answers?

  • An existing customer calls again. Can your office recognize the conversation and avoid treating every repeat call as a new lead?

Agree on the handoff owner, the information the office receives and what happens when the assistant or receptionist cannot complete the task. Call recordings and an attractive summary are useful evidence, but the resulting request or appointment is what your team must work from.

  • What is the monthly charge, currency, allowance and exact overage rate?

  • Which calls, minutes or caller numbers are billable? How are repeat calls, spam, hang-ups, transfers and rounding handled?

  • Which intake, scheduling, recording, notification, integration and human-escalation functions are included?

  • Does “booking” mean a confirmed appointment in my system, or a requested time needing office confirmation?

  • Are nights, weekends and holidays included at that rate?

  • What are the one-time setup fee, carrier charges, taxes and other recurring fees?

  • Is the offer month-to-month, annual prepaid or another minimum commitment? What are the cancellation notice and plan-change rules?

  • Can we review the same test calls and their resulting requests or appointments before choosing a plan?
